How we collect, use, and protect your personal information and project data.
[Your Company Name] Pty Ltd (ABN: XX XXX XXX XXX) ('we', 'us', or 'our') operates an AI-powered building compliance review platform ('the Platform') for the Australian building and construction industry. We are committed to protecting the privacy of all individuals and organisations whose information we collect and handle.
This Privacy Policy explains how we collect, use, store, disclose, and protect your personal information and project data in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
By using the Platform, you agree to the collection and use of information as described in this Policy.
The Platform is designed for use by residential builders, architectural draftspeople, building designers, and project managers operating in Victoria, Australia. It provides automated compliance analysis of architectural drawings against applicable building regulations, planning provisions, and local council planning schemes.
Because the Platform processes architectural project files that may relate to third-party properties and clients, users accept additional data handling responsibilities as described in Section 10 of this Policy.
When you create an account, we collect:
When you submit a compliance review, we collect:
Uploaded drawings and title documents may themselves contain personal information about individuals other than you — for example, the names and details of property owners, neighbouring owners, builders, designers, and consultants recorded on the drawing set. We handle this information in accordance with this Policy, and your responsibilities in relation to it are set out in Section 10.
On plan tiers that include custom checklists, you may upload your own compliance checklists (as CSV or Excel files) or enter checklist items manually. We collect and store this checklist content, including each saved version of your checklists, so that your reviews can be run against your own criteria and so you can revert to earlier versions. Custom checklist content may constitute confidential business information; we treat it as your data under this Policy, use it solely to operate the Platform for your account, and do not share it with other users.
We automatically collect information about how you use the Platform, including features accessed, review history, session data, device type, browser, and IP address.
We may collect voluntary post-review survey responses, support enquiries, and in-platform feedback submissions.
We use your information to deliver compliance reviews, maintain your account, process payments (once paid subscriptions launch), improve our own platform checklists, prompts, and review logic, and develop new features. We do not use the content of your custom checklists (Section 3.3) to improve our platform checklists or for any purpose other than operating the Platform for your account.
In aggregate and de-identified form, project data may be used to identify common compliance issues, analyse permit processing trends, and produce industry reports. We will never publish information that identifies you, your clients, or specific project addresses.
We may contact you with transactional notifications, regulation update alerts, product announcements (opt-out available), and support responses.
Compliance reviews are generated using artificial intelligence provided by Anthropic PBC ('Anthropic'), a United States company. When you submit a review, text extracted from your uploaded documents — which may include the project address and the names and details of builders, designers, and property owners appearing on the drawings — is transmitted to Anthropic's API for analysis. Where your review is run against a custom checklist (Section 3.3), the content of that checklist is also transmitted to Anthropic as part of the review, so the analysis can be performed against your criteria.
We do not train AI models, and your data is not used to train them. We do not build or train our own AI models, and Anthropic does not use data submitted through its API to train its models by default. Anthropic may retain API inputs and outputs for a limited period in accordance with its own data retention and usage policies, including for trust and safety purposes.
If you have questions about how your data is processed, contact us at privacy@lodgely.com.au.
Your uploaded files, account information, and compliance reports are stored at rest on infrastructure located in Australia (Sydney region).
However, some processing of your data occurs outside Australia:
Where we disclose personal information to overseas recipients, we take reasonable steps in accordance with Australian Privacy Principle 8 to ensure the recipient handles that information consistently with the Australian Privacy Principles, including through contractual protections in our agreements with those providers.
We protect your information using encryption in transit (TLS 1.2+) and at rest (AES-256), authenticated access, and database-level access controls that restrict each user's data to their own account. We review our security practices as the Platform develops.
We retain your account information, uploaded project files, compliance reports, and custom checklists (including their version history) for as long as your account remains active. We are developing automated retention and deletion capabilities. Until these are in place:
If a data breach occurs that is likely to result in serious harm to any individual whose personal information we hold, we will notify affected individuals and the Office of the Australian Information Commissioner in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).
We disclose information to the following categories of service providers in order to operate the Platform:
We take reasonable steps to ensure these providers handle personal information in a manner consistent with the Australian Privacy Principles, including through the contractual terms under which we engage them.
We may disclose your information where required by law, court order, or regulatory request.
We do not sell, rent, or trade your personal information or project data to any third party for commercial purposes, under any circumstances.

We recommend disclosing your use of the Platform, including its use of overseas AI processing, in your client engagement terms or privacy notice.
The Platform is intended for business professionals only and is not directed at individuals under 18. We do not knowingly collect personal information from minors.
We may update this Privacy Policy from time to time. When we make material changes, we will notify registered users by email and update the 'Last updated' date above. Continued use of the Platform following notification constitutes acceptance of the updated Policy.
